The Referral Intake Specialist is responsible for all incoming referrals. The Intake Specialist is the initial contact with our clients to determine their needs, gather and document clinical, demographic, and funding source information for their at home device. The Intake Specialist will communicate with all internal teams and external clients.
Accountability 1: Process Referrals
- Ensuring that our customers receive a stellar level of service
- Ensure that work is conducted as per RTI policy and procedures
- Ensure that Database provides a full representation of the status of all incoming Referrals
Accountability 2: Functions of reimbursement process
- Enters and contacts referral source and patient within 24 hours of receipt of referral
- Determines funding options to secure a home device
- Collect signed documents from patients and clients
- Contacts and communications with insurance companies, clients, patients, doctors, and other third parties regarding funding, coverage, co-payment, deductible, medical records and any pertinent information for reconciliation of a referral
- Detailed follow up on all submissions and requests for information
- Perform Quality Assurance on all referral entries and documents prior to submission
- Assigns referral to associated department/coordinator as designated by the determined funding source
- Generate, analyze and reconcile Referral report in Database
- Request information from referral sources as needed, such as prescriptions and letters of medical necessity
- Create reimbursement cases for insurance funded devices
- Insurance verification
- Implement any requested changes in Intake requirements
- Works and communicates effectively with other company employees, managers, and departments
Accountability 3: Reporting
- Make recommendations to Director of Reimbursement for payment negotiation requests
- Make recommendations to Director of Reimbursement for outstanding referrals
- Recommend changes in the Referral Intake requirements to Director of Reimbursement
- Reports on delinquent accounts to Director of Reimbursement Services
- Maintain a daily log of intakes done including number of calls, types of calls, duration of calls, etc.
- Support Audit/Finance Team with referral reporting to Management Team
- Aid in the development and updating of Policies, Procedures, Forms, etc.
Key Incumbent Requirements: Minimum
- At least 3 years’ experience in a healthcare setting, preferable durable medical equipment
- Exceptional organizational, multitasking and communication skills
- Effective time management skills while working independently with minimal supervision
- Proficient ability and practical knowledge of personal computer use, Proficient with Microsoft Office Suite, including Excel and Word, accounting software, internet software, database software additionally, the applicant must demonstrate the ability to learn quickly and proficiently to use company specific software programs and any other handheld or technology tools as required for completing job tasks
- Ability to develop in-depth knowledge about product and services
